HIRE THAI STAFF · THE DETAILS
Privacy notice
The information we need to help with a hire, how it is used, and the choices available to you.

1. About this notice
“We” and “our” refer to the people operating the Hire Thai Staff service at HireThaiStaff.com. This notice explains how we handle information about website visitors, people enquiring on behalf of businesses, and candidates considered for vacancies.
Our website directs enquiries to WhatsApp. This notice covers website visits, messages you send us and information handled during recruitment.
2. Information we handle
Business enquiries
When you contact us, we receive the information you choose to share, such as your name, phone number, WhatsApp profile details, business name and location, staffing requirements, budget, messages and attachments. Your contact details let us reply; the hiring brief lets us assess and carry out your request.
Candidate information
For recruitment, relevant information may include a candidate’s name, contact details, résumé, employment history, experience, relevant language skills, availability, salary expectations and interview responses. Recruiters also prepare notes about suitability, strengths and potential gaps.
This information may come from the candidate, their application or profile, a referral, or relevant recruitment channels. If information comes from someone else, we need to explain its source and intended use to the candidate as required. A publicly available résumé is not permission to use it for any purpose.
Do not send identity documents, bank details, medical information or other sensitive records for an initial enquiry. If a later step requires additional information, we explain what is needed and why before requesting it.
Website visits
The current website does not install advertising trackers or analytics scripts, and it does not set its own tracking cookies. Fonts and the hospitality image are served with the site. The hosting service may process technical records, such as IP addresses, request times, requested pages and browser information, to operate and protect the website.
3. Why we use information
- To answer enquiries and understand a business’s recruitment needs.
- To discuss roles with candidates, assess suitability and prepare profiles.
- To arrange introductions and interviews, communicate decisions and coordinate a search.
- To handle service questions, complaints, replacement requests and, payment and refund records.
- To secure the service and meet applicable record-keeping or other legal obligations.
Depending on the activity, the relevant legal basis may be steps requested before a contract, performing a contract with you, a legitimate interest in operating recruitment services balanced against your rights, a legal obligation, or consent where needed. These grounds are assessed for the specific use; simply contacting us is not consent to every future use.
Providing information is generally your choice. If essential contact or recruitment details are missing, we may be unable to respond, assess a candidate or carry out a search. We explain any information required by a contract or law when requesting it.
Recruiter assessments involve human judgment. The described process does not make hiring decisions solely through automated processing. Employers make their own hiring decisions.
5. WhatsApp and overseas processing
“Get started” and contact links open WhatsApp with a suggested enquiry message. Clicking a link does not send the message; you choose whether to send it. WhatsApp processes information under its own privacy policy, separately from our handling of messages we receive.
Messaging or other service providers may process information outside Thailand. The destination and protections depend on the provider and service used. Before making a transfer for which we are responsible, we need to establish the applicable legal basis and any required safeguards. Use of WhatsApp alone does not mean all information stays in Thailand.
6. Keeping information
Our retention approach is to keep information only while needed for the stated purpose, then delete it or make it no longer identifiable, unless continued retention is justified.
- Enquiries: while the conversation is active and any agreed follow-up remains relevant.
- Candidate and search records: while the search, an agreed consideration period, or related service questions remain active.
- Contract, payment and dispute records: for applicable legal requirements or the period needed to resolve a claim.
- Technical records: according to the hosting provider’s operational and security arrangements.
Keeping a candidate in consideration for unrelated future vacancies needs a separately explained purpose and appropriate legal basis. It is not automatic.
Access restrictions, appropriate account security and careful handling of profiles form our approach to safeguarding information. Copies held by recipients or providers are also subject to their own retention practices. No communication or storage system can be promised to be completely risk-free.
7. Your choices and rights
Subject to the conditions and exceptions in applicable law, you may request access to your data, correction, deletion, restriction, portability, or object to certain uses. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. You may also complain to Thailand’s Personal Data Protection Committee.
Contact us on WhatsApp with your request. We may need proportionate information to establish your identity and locate the relevant records. Please do not send a full identity document unless we have explained why it is necessary and how to provide it appropriately.
We will explain the response to your request, including any legal reason information needs to be retained. Privacy rights are not conditional on paying for a search or accepting marketing messages.
8. Contact and updates
WhatsApp is our contact channel for service and privacy questions. We do not offer an email contact channel.
